By signing the rental agreement, you automatically accept the rules, terms and conditions associated with renting a vendor booth. The rental of a storage room applies to the entire opening period, and not just single days/weekends.

OPENING/CLOSING
The vendor must open and close the stall only in accordance with opening hours. It is not permitted to open or close the stall outside the specified opening hours mentioned above. The vendor undertakes to open the stall according to the stated opening hours, and it is considered a breach if the stall is not open when the market opens. If the vendor breaches this, the parties agree that the vendor must pay the organizer an agreed default fee of NOK 2,500 excl. VAT. per started hour.
If the vendor chooses not to open for sale on one or more days, failure to open is considered a material breach, and the organizer has the right to terminate the agreement with the vendor. In the event of such termination, the vendor must resign and vacate the stall and leave the area immediately, and within 12 hours at the latest. The organizer should exercise a certain reasonable judgment if the reason for not opening is due to completely extraordinary situations for which the vendor cannot be blamed. The vendor must under any circumstances notify the organizer as soon as it becomes clear that the stall will not be opened.

PRODUCTS AND PROFILING/DECORATIONS
It is only permitted to sell the products that have been approved and described in the rental agreement, or have been entered in writing and approved by the organizer. The organizer has the right to reject products that have not been registered or approved in writing by the organizer. Vendors have no exclusive right to sell their products at Jul i Vinterland, but the organizer will work to get the most varied selection of vendors and products possible. The organizer requires that the vendor himself decorates and profiles his stall in addition to the decoration that comes with the stall. The vendor himself provides the equipment, furnishings and lighting inside the booth. Only warm white lighting is permitted. Colored or flashing lights are not permitted, this applies both inside and outside the stall. The organizer will evaluate all exhibitors and stalls continuously during the event. Reasonable instructions from the organizer to raise the quality of products, general performance or stall decoration are expected to be complied with as soon as possible.

APPAREL
As part of the Jul i Vinterland concept, and to create a common thread throughout the event, vendors with employees, volunteers, organizers and everyone else who works with Jul i Vinterland must wear the event’s common clothing. Clothing will be associated with the Christmas/winter theme and help create the Christmas experience that all our guests will get by visiting Jul i Vinterland. There is an opportunity to wear warmer clothing over the sweater if necessary. Jul i Vinterland’s official clothing in 2023, produced and supplied by Twenty Four, is to be used exclusively for the event and not other Christmas markets/sales.

HYGIENE AND CLEANLINESS
For vendors who serve food, the organizer sets high standards in terms of hygiene, cleaning and waste management. We have therefore entered into a Trygg Mat agreement with Pelias AS, which throughout the period will carry out internal checks and audits in food stalls. Vendors who make use of the washroom offered undertake to follow the applicable rules for hygiene and safe food handling from Pelias AS and the Norwegian Food Safety Authority. The rules will be posted and visible inside the washroom. The vendor is himself responsible for documenting his own internal routines for safe food handling. When signing the contract, exhibitors who serve food will be sent a “Requirements to the tenant” document, developed by Pelias AS, which aims to ensure that food produced and served at Jul i Vinterland is done in accordance with current regulations. This document must be signed.

MAINTENANCE AND WASTE HANDLING
The organizer ensures the cleaning of public areas, the vendor itself ensures cleaning/cleaning inside and outside the stall in accordance with the organiser’s requirements for waste management. It is not permitted to leave objects, equipment and rubbish around/behind the stall. Violation of these rules can lead to a warning and a fine of up to NOK 2,500. At the end of the event, all booths must be left cleaned and free of staples, small nails, glue residue and the like. Damage beyond ordinary wear and tear will be charged to the vendor. For vendors who serve food and drink, the stall must be left free of food residues, grease residues and spillage. The organizer reserves the right to approve the vendor’s stall upon handing over the stall key after the event has ended.

POWER
To avoid power cuts during the event, it is important that the vendors uses power cables suitable for outdoor use, and does not use more power than ordered. Two pcs. 16A sockets (230 volts, single phase) are included in the rent under common costs. The vendor undertakes in advance of the event to order enough electricity according to the equipment the vendor plans to use in the booth.
Deadline for ordering extra electricity: 20. October 2023

HSE AND FIRE SAFETY
The organizer is responsible for the guests’ safety in relation to the physical conditions at the event. In addition, the organizer provides 24-hour professional area security.
Out of consideration for the guests’ safety and our common working environment, it is unacceptable to work or stay at the workplace when you are under the influence of drugs or in a hangover. This applies to all types of drugs. Employees in each individual store may also not consume alcohol or other drugs during opening hours, including breaks. Vendors or employees associated with sales are not allowed to enjoy alcohol at Julenissens Gløgghus (or other catering establishments) during working hours. Smoking is not permitted in or outside the vendor booth. Smoking is only permitted in the production area. Vendors who use deep fryers, propane or other particularly flammable objects must have a suitable fire extinguisher in the stall. Gas must be stored in a shared, locked gas cage in the production area. In the event of a breach of HSE rules, the organizer may demand an agreed non-compliance fee of NOK 2,500 and, in the event of repeated defaults or serious breaches, the matter shall be considered material and entitles the organizer to terminate the contract.

PLACEMENT
The organizer reserves the right to decide and make the placement that it deems correct. The organizer cannot guarantee a specific or desired location. Vendors will be placed in relation to which other players have been allocated space on the market based on the organiser’s own assessment of suitability, as well as size, technical factors and other considerations. The organizer indicates the final position shortly after the market is fully subscribed.

FORCE MAJEURE
In the event of Force Majeure or Force Majeure-like events, including, but not limited to, bomb threats, strikes, lockouts and natural disasters, or other conditions beyond the parties’ control, the parties shall not be deemed to be in default. Already paid rent and other payments are not refunded.

COVID-19
If the event is affected by a pandemic or epidemic, including COVID-19, or measures and recommendations that have been implemented to limit the spread of viruses, and such conditions result in the organizer choosing to cancel or scale back the event, the organizer shall have the right to terminate the agreement . In the event of termination (cancellation) on this basis, the parties are not entitled to compensation as a result of the termination. Withdrawal shall only have effect for services that have not already been performed. Any partial payment that the vendor has made, but where the consideration (rental of storage, additional equipment, etc.) cannot be performed as a result of conditions as described in this point 11, must be refunded to the extent that the performance cannot be performed as expected. All rights and obligations regarding confidentiality, intellectual property rights, etc. shall survive termination. Otherwise, the parties shall have no further claims against each other.

ARRIVAL/SET-UP
The vendor will be sent detailed information about arrival, driving times, set-up etc. before the opening day well in advance of the event.

WIFI
The organizer does not offer wifi, and it is recommended to purchase your own router/wifi solution if necessary.

INSURANCE AND SECURITY
The vendor is himself responsible for insuring his own inventory in the stall, including rented bank terminals. The organizer has his own insurance on the stall itself. The organizer provides 24-hour professional area security throughout the period. The organizer cannot be held responsible for theft, vandalism, damage to equipment, vehicles etc. or damage caused to the vendor or the vendor’s representatives or goods.

INFORMATION FROM THE ORGANIZER
All information, including the invoice, will be sent to the vendor by e-mail. The organizer encourages the vendor to check e-mail frequently both before and during the event.
